Waiting Room ("we", "us", or "our") operates the Waiting Room mobile application and the website at waitingroom.me (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the rights you have over your data.
1. Information We Collect
We collect the following categories of information:
- Account information: When you create an account, we collect your name, email address, and, where applicable, phone number. Authentication is handled by our partner Clerk.
- Profile information: Any profile photo, display name, or preferences you provide.
- Transaction information: When you purchase tickets or memberships, we collect transaction details (event, ticket type, amount). Payment card details are processed and stored by Stripe; we do not store full card numbers on our servers.
- Device and usage information: Device type, OS version, app version, IP address, and basic usage events used to diagnose crashes and improve the Service.
- Push notification tokens: If you opt in, we store a push token via OneSignal to deliver notifications about events, tickets, and account activity.
- Content you upload: Images you upload (for example, profile pictures or event images) are stored by Convex on our behalf.
2. How We Use Information
- To create and manage your account.
- To process ticket purchases, memberships, and refunds, and to issue receipts.
- To deliver tickets, event reminders, and important service notifications.
- To prevent fraud, abuse, and unauthorized access to the Service.
- To improve the Service through aggregated analytics and crash diagnostics.
- To comply with legal obligations (for example, tax and accounting records).
3. Sharing of Information
We do not sell your personal information. We share data only with the service providers necessary to operate the Service:
- Clerk— identity and authentication.
- Convex— database and file storage.
- Stripe— payment processing.
- OneSignal— push notification delivery.
- Event organizers— when you purchase a ticket or membership, the organizer of that event receives the information needed to admit you (such as your name and ticket details).
We may also disclose information when required by law, in response to a valid legal request, or to protect the rights, property, or safety of users or the public.
4. Data Retention
We retain your personal information for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. Purchase and financial records may be retained for up to seven (7) years to comply with tax and accounting laws.
5. Your Rights
You have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Request deletion of your account and associated personal data. See our Account Deletion page for instructions.
- Opt out of push notifications at any time through your device settings.
- Object to or restrict certain processing, subject to applicable law.

6. Children's Privacy
The Service is not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
7. Security
We use industry-standard technical and organizational measures to protect your information, including encryption in transit (HTTPS) and access controls. No method of transmission or storage is 100% secure, but we work to protect your data against unauthorized access, alteration, or destruction.
8. International Transfers
Your information may be processed in countries other than your own, including the United States, where our service providers operate. By using the Service, you consent to such transfers.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the Service or by email. The "Effective date" above indicates the most recent revision.
